Service Fee Policy
Reservation Paths is an independent travel assistance provider. We charge transparent service fees for the personalized support we offer. This policy explains when fees apply, how they are calculated, and your rights regarding refunds. We believe in upfront honesty — no hidden charges, no surprises.
Our fees pay for the time, expertise, and resources of our support specialists. This includes research, phone calls with travel providers, documentation, follow‑up, and use of our proprietary tools. You are paying for assistance and guidance, not for airline tickets, cruise fares, or refund guarantees.
1. When Service Fees Apply
We charge service fees for the following types of assistance:
- Flight reservation assistance – helping you understand options, policies, and next steps (we do not book flights directly).
- Booking modification support – date changes, name corrections, seat upgrades, etc.
- Cancellation assistance – explaining cancellation policies, contacting the airline/cruise line, and helping you request refunds.
- Cruise reservation support – research, policy explanation, and coordination with cruise lines.
- Car rental assistance – policy questions, modifications, and cancellation help.
- Multi-city or group travel assistance – complex itineraries, group coordination.
- General travel consultation – any call or email request requiring research or dedicated specialist time.
Initial phone consultations (under 5 minutes) to explain our services and fee structure are free. Once you request substantive assistance, fees apply.
2. Fee Structure & Typical Amounts
Service fees vary based on complexity and time required. Below are typical fee ranges. Exact fees will be disclosed before you authorize any work.
All fees are in USD. Taxes may apply where required by law. Final fee quotes are provided verbally or via email before work begins.
3. No Airline or Cruise Line Fees Included
Our service fees are separate and distinct from any fees charged by airlines, cruise lines, hotels, or car rental companies. For example:
- If an airline charges a $200 change fee, that is paid directly to the airline — not to us.
- If a cruise line imposes a cancellation penalty, that amount goes to the cruise line.
- Our service fee is only for the assistance we provide, not for the travel product itself.
We will always clarify which fees are ours and which belong to the travel provider before you commit.
4. Payment Methods & Authorization
Service fees are due before we begin work, unless otherwise agreed. We accept:
- Major credit cards (Visa, MasterCard, American Express, Discover)
- Debit cards
- Secure online payment via our payment processor (Stripe / equivalent)
By providing payment information, you authorize us to charge the agreed‑upon service fee. You will receive a receipt via email. We do not store full credit card details on our servers.
5. Refundability of Service Fees
Because our fees pay for time and expertise, they are generally non‑refundable once we have started work. Exceptions:
- Before work begins: If you cancel an assistance request before any substantive work (research, calls, documentation) has been performed, you may receive a full refund within 30 days of payment.
- Our error: If we fail to provide the agreed‑upon assistance due to our mistake, we will refund the service fee in full or offer a credit.
- Duplicate payment: If you accidentally pay twice, we will refund the duplicate immediately.
Refunds are not provided if an airline or cruise line denies a refund, change, or cancellation request. We are not responsible for third‑party decisions.
For full details, see our Refund Policy.
6. No Surprise Fees – Transparency Guarantee
We will never charge a fee without first:
- Explaining the service to be performed
- Providing a clear fee quote (fixed or hourly, with estimate)
- Obtaining your verbal or written consent
If additional work is required beyond the original scope, we will notify you and obtain approval before charging any extra fees. You may decline and pay only for work completed up to that point.
7. Comparison to Airline Direct Support
Many airlines offer free customer support for existing bookings. However, wait times can be long, and some issues (e.g., complex modifications, third‑party bookings) are not easily resolved. Our service is designed for customers who:
- Prefer to speak with a real person immediately (without hold times)
- Need help understanding complex policies
- Have non‑standard situations (group travel, multi‑city, etc.)
- Want an advocate to help navigate airline/cruise line processes
Our fees reflect the personalized, on‑demand nature of our assistance. You are always free to contact the airline directly at no cost.
8. Changes to This Policy
We may update this Service Fee Policy from time to time. Any material changes will be posted on this page with a revised effective date. Fee changes will not apply retroactively to already‑authorized assistance requests.
